Shop Wisely: How To Choose Office Printers

By Harika Eley

If you are scouring the stores or the market for a good printer for your office, you must tackle some issues first. Otherwise, you will end up with an office machine that would simply be a waste of space in your workplace, not to mention a waste of your money. Think of the losses you would be incurring if you would end up replacing the machine after just a short period of usage. You are expecting something that would perform to a certain extent but actually falls short, simply because you were careless when you were shopping. In that scenario, you'd qualify to be said to have failed to get the best possible value for your (presumably hard-earned) money.

When shopping for an office printer, you should first take note of the printer's speed. Home printers are often chosen among the slow ones since there aren't a lot of printing tasks normally done at home. But it can be very frustrating to use such a machine in the office environment, where the volume of printing work is always high, and where a slow printing machine would hamper efficiency. You need to buy a machine that maintains its efficiency: not one whose efficiency declines significantly as it ages.

Secondly, you need to figure out whether the printer under consideration is capable of producing colored printouts as well. You do not want to have an office printer that cannot produce colored printouts. Then you would have no choice but to go around looking for someone with the right printer for that. Take note of the features of the other office printer. You'll want to know what sorts of computers it is compatible with, whether it can connect through a USB port, the preset printing options available and so on. Spend wisely on an office printer that has the essential features that you require instead of on a printer with lots of features that you don't really need and wouldn't have any use for anyway.

The third issue you need to consider carefully when shopping for an office printer is cost. It is wise to compare the cost of the office printer you want to buy with the other brands or models. This is one way to see if you won't be wasting your money on an inferior office machine. You should also take into account the additional costs on top of the actual purchase price, because of course you'd have to spend money on the maintenance of the office printer while in use.

There are some machines that don't cost very much to procure, but whose maintenance costs end up being very high. The type, number and cost of the ink cartridges used by the office printer would also have to be taken into account since they make up part of the cost. In case you have to do some repairs or procure some spare parts for the office printer, it is also important that you know whether you can easily afford these spare parts or not. It would also help if you know whether you can easily buy them or not when you need them. You would have a lot of problems if you need the spare parts badly but they are not being sold anywhere near you.

  1. As digital printing capabilities increase, many printers are finding that lower overhead expenses allow them to offer customers lower prices - and that means more business and an increase in revenue in the end. Technological advancements in the offset printing process have led to lower costs in that sector of the industry as well. Some industry experts project that the cost per page may drop as much as 10% over the course of the year.
