Determine the approximate amount and type of files that will be managed. Will these be customer's information? Are these legal documents? By knowing the amount of file that will be stored and how often these will be accessed, you will find out what kind of product suits you. Consider the file formats that will be stored and also the locations where these files will be accessed.

Who are your employees who will be using the system? If you are also using the document management product for providing training and product information, it is likely that you have to provide access to most of your employees. During this time, you will also be able to assess how well the service provider assists you with your concerns about their product. After-sales support is a major concern since it is likely that you will have questions about certain features later on.

Cost is a deciding factor on whether you will choose a certain product or not. You may opt to pay for a subscription or to pay a one-time fee. Subscriptions allow you to assess your relationship with the service provider every time you renew your contract. Generally, these also require less upfront payment. On the other hand, purchasing the product frees you from the worries of paying increasing subscription fees.

Before deciding to sign up with a company, check its existing customers' feedback. Changing service providers can be a hassle, so you have to be confident that it will be able to provide you with support should you need some assistance.
